Wedding Photography Agreement

I’m so excited to capture your wedding! This agreement sets out how I work, what’s included, and what you can expect from me. It also explains what I need from you to make sure everything goes smoothly.

Securing Your Date & Payments

  • When booking through Bespoke Weddings, your booking fee/deposit is paid directly to them.
    The remaining balance of your photography package is paid to me (Rapley Photography) no later than 4 weeks before your wedding day.
    Payment is made by bank transfer (details will be on your invoice).
    If payment is late, a £25 admin fee may be added. If you’d prefer to split the balance into instalments, just ask — I’m happy to discuss this.

Wedding Arrangements

  • Details of the wedding arrangements must be confirmed in writing (email acceptable).
  • Clients must notify the Photographer of any changes in writing, which must be acknowledged by the Photographer.

Consultations & Meetings

  • Consultations are only available once booking is confirmed with deposit and signed agreement.
  • Couples booking a full-day package will have a pre-wedding/engagement session included, which also serves as an in-person consultation.
  • For all weddings, a Zoom call will be arranged a few months before the date to go over the schedule and key details.

If You Need to Cancel or Reschedule

  • Cancelling more than 12 weeks before your wedding: you’ll only lose the booking fee.
  • Cancelling between 12 and 4 weeks before: 50% of the package fee is due.
  • Cancelling within 4 weeks of your wedding: the full balance is due, as it’s very unlikely I’d be able to rebook the date.
  • All cancellations must be in writing (email is fine).
  • If you change your wedding date, I’ll do my best to move with you. If I’m not available, I’ll refund everything except the booking fee.

Travel

  • Travel up to 2 hours from WF7 is included.
  • For weddings further away, extra travel or accommodation may apply — we’ll always agree this together beforehand.

Meals & Refreshments

Full-day weddings are long and busy, so I kindly ask that a hot meal and soft drinks are provided for me (and any assistant if present). I’ll usually take this break during your wedding breakfast, when photos aren’t needed.

Coverage & Overtime  (depending on your package)

  • My coverage starts approximately 2 hours before your ceremony to capture the final preparations and details.  
  • Coverage runs until a maximum of 9pm.
  • If the evening is quieter (for example, the dance floor is empty and no further key events are taking place), 
  • I may finish earlier — for example at 8pm.

Delivery of Images

  • You’ll receive a sneak peek shortly after the day.
  • Your full edited gallery will be ready within 8 weeks. (During peak season it may take a little longer, but I’ll always keep you updated.)

Packages

From time to time I may update my packages or services. If you’ve already booked, I’ll make sure you receive services of equal or greater value than those originally agreed.

Drone Photography

Drone coverage can only be done if it’s safe and legal, taking into account weather, venue permission, and UK aviation laws. My decision on this is final. If it’s not possible, no refund or reduction is due.

Highlight Videos (if included)

If I’m providing a short highlight video, please note that my first priority is always photography. This means some moments may be missed on video, especially during key times like the ceremony or first kiss, as I’ll be focused on capturing those in photographs.

My Style & RAW Files

You’ve booked me because you like my style! I’ll use my professional judgement on editing, composition, and which images to deliver.

  • RAW/unedited files are never provided.
  • The final gallery will be polished in my signature style.

Your Cooperation

Please make sure your guests, venue staff, and suppliers know I’ll be working throughout the day. I can’t be responsible for missed shots if people are late, uncooperative, or if the venue imposes restrictions (like no photography during parts of the ceremony).

Copyright & Use of Images

  • I keep the copyright for all photos.
  • You’ll have a personal licence to print and share your images however you like with friends and family.
  • Please don’t add heavy filters or edit the photos — they represent my professional work.
  • I may use a selection of your images on my website, social media, or portfolio to showcase my work.

If Something Unexpected Happens

If something outside of my control prevents me from photographing your wedding (like illness, bad weather, travel disruption, or restrictions at your venue), I’ll do my very best to find a trusted replacement photographer. If that isn’t possible, I’ll refund what you’ve paid (except the booking fee).
I’m not liable for indirect losses (e.g. emotional distress or missed shots due to restrictions), but I’ll always act with care and professionalism.

Safety

Any directions I give you or your guests are followed at your own risk. I can’t be held responsible for accidents or injuries.

Governing Law

This agreement is governed by the laws of England and Wales.
